Sizing the bridal-party vehicle
The single most common wedding-planning mistake is under-sizing the bridal-party bus. Here's how we advise it:
- Bridal party of 4–8: Stretch limo (8-passenger Lincoln, 10-passenger Escalade) or 14-passenger executive Sprinter. Sprinter wins for comfort with gowns.
- Bridal party of 8–14: 14-passenger Sprinter or 18–20-passenger party bus. If you're moving in gowns and tuxes with photographer and coordinator riding along, size to 20.
- Bridal party of 14–20 (party + immediate family + officiant): 20 or 24-passenger party bus. Perimeter seating actually helps here — dress preservation and easier photo boarding.
- Bridal party + close family combined (20–30): 30-passenger party bus. Dance-floor center means the pre-party can start on the ride.
Rule of thumb: the vehicle's rated capacity assumes seat-belted use. For gowns, tuxes, photographers, and a case of champagne, subtract 3–4 seats from the rated number for real-world comfort.
Sizing the guest shuttle
Guest shuttles are a different math problem. You're not moving everyone at once — you're running loops during defined windows.
- Under 40 guests needing transport: One 40-passenger coach running 2–3 loops usually handles it.
- 40–80 guests: Two 40-passenger coaches OR one 40-pax plus one 20-pax mini-coach for guests staying at a secondary hotel.
- 80–150 guests: Two 40-passenger coaches on rotating loops, or three coaches on staggered departures.
- 150+ guests: Three-plus coaches, dedicated dispatch coordinator on our side (included in the quote at that scale).
The number-of-loops question matters more than the number-of-guests question. A single 40-passenger coach running 4 loops over 5 hours moves 160 seat-departures. If your ceremony and reception are back-to-back at different addresses, you may need more parallel vehicles even if the guest count is lower.
Wedding-day timing math
The timing template we use with every couple:
- T–90 min (before ceremony): First guest shuttle loop departs from main hotel.
- T–60 min: Bridal-party bus arrives at get-ready location.
- T–45 min: Second guest shuttle loop; parents-of-couple sedan.
- T–30 min: Bridal party departs get-ready location for ceremony.
- T–15 min: Final guest shuttle departs hotel.
- T–0: Ceremony starts.
- Post-ceremony: Guest shuttles run continuous loop between ceremony and reception if separate addresses; otherwise, drivers wait.
- End of reception: Two return loops — one at 10:30 PM for early departures, final at 12:30–1:00 AM for close-out.
Add 15 minutes of buffer to every leg. It never costs you and often saves you.

- Bridal-party 20-passenger party bus, 5 hours weekend: $975–$1,375 all-in.
- Bridal-party 30-passenger party bus, 5 hours weekend: $1,225–$1,725.
- 10-passenger stretch limo, 4 hours weekend: $650–$900.

All quotes include CDL driver, fuel, standard tolls in Maryland, and full commercial insurance. Standard gratuity is 15–20% and shown as a line item you approve. Nothing gets buried in the invoice.
When to book
- Peak Saturdays (May, June, September, October): 8–12 weeks minimum. Prime venues (Belvedere, Peabody, Chesapeake Bay Beach Club) get locked 4–6 months out for the most popular vehicles.
- Shoulder-season Saturdays (March–April, July–August, November): 4–8 weeks.
- Weekday and Sunday weddings: 3–5 weeks is comfortable.
- December-holiday weddings: 8+ weeks (competing with corporate holiday-party demand).

Baltimore wedding transportation — frequently asked
Do I really need a wedding shuttle?
If your ceremony and reception are at different addresses, or if your hotel block is more than 10 minutes from the venue, or if the venue has limited parking, or if you want guests to drink without driving — yes, meaningfully. A shuttle typically saves your first dance from being interrupted by the “where do I park” texts.
How do you handle the get-ready location?
We stage at the get-ready hotel or Airbnb and stay with the bridal party the entire day, or we shuttle in dedicated legs. Most of our bridal-party jobs are 6–8 hour blocks so we don't have to leave and come back — the driver waits, on the clock.
What about post-ceremony photos at a scenic Baltimore location?
Very common — most bridal-party buses include a photo stop at Federal Hill overlook, the Inner Harbor promenade, Cylburn, or Patterson Park. We build the stop into the schedule.
Can we decorate the party bus?
Non-destructive decor is fine — sashes, signs, ribbons. No adhesive to any surface. If in doubt, ask us before you buy the decor.
Alcohol on the bridal-party bus — allowed?
Yes, provided every passenger is 21+ and there's no under-21 person on board (including the flower girl or ring bearer riding along). Cooler and ice come standard.
What if a shuttle bus breaks down day-of?
