How charter pickups work at DCA
Reagan National is run by the Metropolitan Washington Airports Authority (MWAA). Its rules for private charter buses shape how a group pickup has to go:
- Arrivals level only. All charter pickups happen on the Arrivals (Baggage Claim) level, on the outer roadway.
- Group first, then the bus. The airport asks passengers to have the whole group assembled and all luggage collected before the bus comes to the curb. Buses may not be left unattended at the curb.
- No on-airport staging right now. Since October 2026, because of construction, DCA has no dedicated bus staging area. Your driver waits off the curb and comes in when your group lead says everyone is ready.
- Paperwork is on us. Charter operators do not need a permit at DCA, but the airport asks the bus company to submit its charter bus form at least 24 hours before a scheduled pickup. We file it when we book your trip.

Small groups
For a Sprinter van, the plan is the same: meet at the curb on the Arrivals (Baggage Claim) level once everyone has their bags. Tell us the airline and flight number in the quote form and your group lead gets the driver's contact before landing.
Where we take DCA groups
- Baltimore hotels, the Inner Harbor and the Cruise Maryland Terminal.
- Annapolis and the Naval Academy for Plebe Parent Weekend, Commissioning Week and games.
- Washington, DC and Northern Virginia hotels and conference venues.
- Weddings and reunions across Maryland, with guests from several flights on one schedule.
DCA, BWI or Dulles?
For Baltimore-bound groups, BWI is usually closer; for DC and Northern Virginia trips, DCA often is. Many groups have guests landing at more than one airport. Add each pickup to one quote and we will plan the vehicles around the arrival times. See BWI and Dulles shuttles and all airport transfers.
Pick the vehicle by headcount and by how the day runs: Sprinter vans for small groups, party buses when the ride is part of the fun, minicoaches and full-size motorcoaches when you need luggage space or more seats. The quote form shows what is open on your date, with the price.
